The opportunity

2050 City isn't a typical agency. As a destination marketing organization advisory practice, they build AI roadmaps for the companies and destinations they work with — strategic documents that define each client's vision, purpose, and path into an AI-driven future. That's high-trust, high-value work, and demand for it has grown fast. Every new client meant another roadmap, another set of strategic documents, another relationship to manage with the care this kind of work requires.


By the time we partnered with them, 2050 City had built a portfolio of strategy work that most agencies would envy. What their momentum called for was a home worthy of it — a single, purpose-built platform where every client could access their own AI roadmap and where the 2050 City team could run the entire client operation, from access to invoicing.


They wanted one system that could:

  • Give every client company a dedicated, secure space to access their AI roadmap, vision, purpose, and strategic materials

  • Let clients learn from the broader portfolio — case studies and strategies from across 2050 City's work, shared deliberately

  • Put document visibility fully in the admin team's hands: shared broadly or scoped to a single company, decided per document

  • Manage which companies are part of the platform and what each one can see

  • Handle billing end to end — create and send invoices from a simple form, with payments flowing through Stripe

  • Reflect the forward-looking 2050 City brand at every touchpoint

What we built

We approached this the way we approach every engagement: operations first. Before touching a tool, we mapped everything 2050 City needed to run — the client relationships, the document taxonomy, the visibility rules, the billing flow — then engineered the architecture to match, on a Softr portal backed by Airtable, with Make and Stripe powering the billing engine.


The platform serves two audiences with two distinct experiences. Client companies log into a branded portal and land in their own space: their AI roadmap front and center, alongside the vision and purpose documents created for them, plus a curated library of case studies and strategies from across the 2050 City portfolio. The admin team gets a control layer over all of it — companies, documents, visibility, and billing, managed from one place.

  • Company-scoped access control. Every client company gets its own secure workspace. The admin team decides who's on the platform and what each company sees — onboarding a new client or adjusting access takes moments, not a rebuild.

  • Per-document visibility. Every strategic document carries its own visibility setting: shared across the full client base, or limited to a single company. Sensitive roadmaps stay private; portfolio-wide insights get distributed deliberately. One system, granular control.

  • The roadmap experience. Each client's AI roadmap lives alongside its supporting vision and purpose documents — a complete strategic picture, always accessible, always current.

  • Cross-portfolio intelligence. Clients can explore case studies and strategies from other companies 2050 City has advised — turning the portal from a document repository into a source of ongoing strategic value.

  • Invoicing built into the workflow. The admin team creates and sends invoices through a simple fill-out form — no separate billing tool, no context switching. Stripe handles payment, so the money side runs as cleanly as the strategy side.

Because the platform is architected on a foundation that grows with them, adding a new client, a new document type, or a new capability doesn't mean rebuilding — it means extending. When new capability ships, it goes straight to work.


The new level

And as 2050 City's client base grows, the platform grows with it — nothing to migrate, nothing to rebuild.
